Retention is a data problem before it is a marketing problem

Most tools sold as retention software are outreach tools. They send the lapsed-member email, the “we miss you” campaign, the discount offer. All of that fires after someone has already gone quiet — which is to say, after the decision.

The expensive gap is earlier. Somewhere between six and two weeks before a cancellation, a member stops logging, then trains less, then stops answering. Every one of those is visible if you can see what they are doing. None of them is visible from a door swipe or a billing record.

What is gym retention software?
Broadly, anything that helps you keep members longer. In practice the category splits in two: tools that automate outreach — win-back emails, lapsed-member campaigns — and tools that tell you who is drifting in the first place. Theron is the second kind. It surfaces falling adherence next to each renewal date so you can act while it still matters.
Does Theron predict which members will churn?
It does not compute a risk score. It shows the two signals that precede cancellation — training frequency falling and food logging stopping — on the same list as each member’s renewal date. A coach reading that list can see who is drifting; the software does not rank them for you.
Why not just use attendance data?
Because attendance and adherence are different things. A member can turn up every week, follow none of the programme, see no progress and cancel anyway. Attendance tells you the door opened. Adherence tells you whether the coaching is landing, and that is what people renew for.
How early can I see a member drifting?
As soon as the pattern changes. Logging stops before attendance does, and attendance drops before anyone announces they are leaving — typically weeks. The point of the 7-day window is that it moves fast enough to notice a change rather than smoothing it away.
Does it send the win-back message for me?
No, deliberately. An automated "we miss you" email from a gym is recognisable and largely ignored. A message from an actual coach who noticed, sent in the week it happened, is a different thing. Theron gives you the name and the timing; the message is yours.
