The column every other gym CRM leaves empty
Open any gym CRM and look at a member record. You will find a name, a phone number, a membership tier, a renewal date, and a column of notes somebody typed after a conversation. What you will not find is whether that member trained last week, or whether they have eaten anywhere near the plan they were given.
That is not a failure of discipline. The data does not exist in the building. The member trains, eats and gives up somewhere your software cannot see, and by the time the renewal date arrives you are reading a note from six weeks ago and guessing.

What they were told to do
The workout and meal plan currently assigned to them, who assigned it and when it changed. A CRM note saying "sent Maria her plan" is a claim; the assignment itself is a fact.
What they actually did
Logged meals, logged workouts, body weight over time, and a 7-day adherence figure. This is the column a gym CRM normally cannot fill, because the data lives in an app the gym does not own.
Money and dates
Which pricing plan they are on, what it costs, when it renews and whether it lapsed. Revenue, renewals and churn roll up across the whole member list.
Sessions
Booked training, nutrition-review and consultation sessions on a week calendar, including recurring slots, attendance status and the coach-side log of what was done in the session.

A general CRM (HubSpot, Zoho, a spreadsheet)
Holds contacts and notes about members. It cannot tell you whether a member trained this week, because nothing feeds it. Theron fills that column automatically.

Strong on booking, door access and till. Weaker on programming: the plan a member follows and their adherence to it usually live in a separate coaching app. Theron is that half, done properly.

Retention is a data problem before it is a marketing problem
Members do not cancel on the renewal date. They cancel weeks earlier, quietly, and the renewal date is only when it becomes your problem. The two things that predict it — training frequency falling off and food logging stopping — are visible in Theron the week they happen, on the same list where you see who is due to renew.
Theron will not send an automated win-back email about it. It will show you the name early enough that a message from an actual coach still means something.
