Gym Client Management

Gym client management software — one record per member

Theron is gym management software built around the client rather than the front desk: invite members, assign meal and workout plans, see who is actually following them, and export everything to Excel. Built for gym owners, personal trainers, and nutrition centers. Running the whole operation from one system? See Theron as a gym ERP.

What gym client management software has to get right

Invite & manage clients

Add members by email, track who has accepted, and see every client in one member management dashboard. No spreadsheets.

Assign meal & workout plans

Build reusable meal and workout plans once, then assign them to any client. A real client management software workflow instead of copy-pasted PDFs.

Monitor client progress

See compliance, weight trends, and goal progress per client so coaches catch members falling behind before they churn.

Full professional dashboard

One gym management software dashboard for your whole team, with members, plans, revenue and exports in one place.

Per-seat pricing that scales

From €29.99/month for 10 member seats, then per seat as you grow. Add or remove seats anytime, billed pro-rated.

Excel exports

Export clients, plans, and revenue to Excel anytime. Your data is never locked into the platform.

Is this a gym CRM?

Depends which half of the word you mean. A sales CRM tracks people who are not customers yet: leads, pipelines, follow-up sequences, conversion. Theron does not do that. What it does is the part most gym CRM software treats as an afterthought: managing the clients you already have, once they have signed up and the actual work starts.

That distinction decides which tool you need. If your problem is filling the gym, buy a sales CRM. If your problem is that you cannot answer “how is this member doing?” without opening three apps and asking a coach, that is a client-management problem, and it is the one Theron is built for.

The mechanism is one record per member. Contact details, the plans they have been assigned, every workout and meal they logged against those plans, their weight and progress history, and what they are worth to the gym, all on the same record, readable by every coach on the team. Nothing to reconcile, because there is nothing to reconcile against.

What Theron covers — and what it deliberately doesn't

Theron is the training and nutrition layer of your gym: member records, plans, compliance, session scheduling, your own pricing plans with revenue and retention, and Excel exports. Coaches work from the mobile app and the web dashboard; members only need the mobile app, at no extra charge.

Included

  • · Invite, extend and remove members by email
  • · Meal & workout plan templates, assigned per client
  • · Macro targets, weight and compliance per member
  • · Session calendar with recurring slots and attendance status (web)
  • · Your pricing plans, revenue, renewal and churn (web)
  • · Excel exports of clients, plans and revenue (web)

Not included

  • · Door access control or turnstile hardware
  • · Point of sale, cash register or shop inventory
  • · Collecting membership fees from your members
  • · Public class booking pages or waitlists
  • · In-app chat between coach and member
  • · Payroll, rota or accounting

Theron is designed to sit next to whatever you already use for door access, bookings and payments, not to replace it. If those are your main problem, a full gym ERP will serve you better than we will, because that answer is in your interest as much as ours.

Gym CRM pricing — from €29.99/month

Per-seat pricing for up to 10 member seats, then a per-seat rate as your gym grows. Add or remove seats anytime, with changes billed pro-rated, so you only pay for what you use.

FAQ

Gym client management — common questions

How do I organize my gym?
Discover how Theron, a gym organization software, can simplify your operations: one gym organization program for members, meal/workout plans, compliance, and revenue, all from a single dashboard — no scattered spreadsheets.
What is gym management software?
Gym management software is a platform gym owners and trainers use to manage members, assign workout and meal plans, and track client progress in one dashboard, replacing spreadsheets and paper logs.
How much does gym management software cost?
Theron’s gym plan starts at €29.99/month for 10 member seats and scales per seat as your gym grows, at the same price in the app or on the web. All plans include Excel exports and a full professional dashboard. Prices exclude applicable taxes.
Is gym management software the same as a gym ERP?
Not quite. Gym management software handles members, plans, and day-to-day operations. A gym ERP is the wider idea: one system holding every operational record, from programming and compliance through to revenue and reporting. Theron covers both — see the gym ERP page for how the single-record model works and how it compares to legacy ERP systems.
Can I manage members and assign plans from one place?
Yes. Theron’s gym management software lets you invite clients, assign meal and workout plans, and monitor compliance from a single dashboard built for gym owners, personal trainers, and nutrition centers.
Can I export my gym’s data?
Yes. Clients, plans, and revenue can all be exported to Excel at any time, so your gym’s data is never locked into the platform.
What is gym client management software?
Software that keeps one record per member, holding contact details, assigned meal and workout plans, what they actually logged against those plans, progress history and revenue. The alternative is of splitting the same person across a booking tool, a spreadsheet, and a coach’s phone. The test of it is simple: can any coach on your team answer "how is this member doing?" from one screen, without asking anyone. If not, you do not have client management, you have files.
Is Theron a gym CRM?
For existing clients, yes. For lead generation, no. A sales CRM manages people who have not joined yet: leads, pipelines, follow-up sequences. Theron manages the members you already have: their plans, their adherence, their progress, and their revenue. If filling the gym is your bottleneck, you want a sales CRM alongside it. If keeping and coaching the members you have is the bottleneck, that is what Theron does.
How do I manage gym clients without spreadsheets?
Invite each member by email and they get their own record and the mobile app. From then on, plans are assigned from the dashboard and everything the member logs, from workouts to meals and weigh-ins — writes back to the same record. Spreadsheets fail at gyms not because they are spreadsheets but because the moment two coaches edit them, the member list, the plan library, and the progress log drift apart and nobody reconciles them. One record removes the drift. You can still export to Excel whenever you want a spreadsheet for something else.
What should I look for in all-in-one gym management software?
Check the scope against your actual week before you check the feature list. "All-in-one" usually means facility operations such as bookings, POS, membership billing and door access, with coaching bolted on the side. If your week goes into programming, checking adherence, and catching members who are drifting, most of that suite goes unused and you are paying for it. The honest questions are: is pricing published or gated behind a sales call, can you be operational the same day or is there an onboarding project, and can you export your members, plans, and revenue without opening a support ticket.
Does it work for multiple coaches?
Yes. Coaches see the members assigned to them; owners see everything across the gym. That is the point of a shared record. The failure mode it prevents is the same member existing differently in three coaches’ notes, so a simple question about them needs a group chat to answer.
